What actually matters in a shop

Retail IT priorities are not the same as an office's, and treating them the same is how a provider ends up unavailable at the worst moment.

Payments never stop

POS and EFTPOS are the business. Everything in the design should serve keeping them running, including a 4G or 5G failover connection that takes over automatically when the internet drops.

Payment devices are separated

Card terminals on their own network segment, unreachable from staff machines or guest WiFi. This is expected practice under PCI-DSS and it is far cheaper to build in than to retrofit.

Guest WiFi is genuinely isolated

Customer WiFi with a route to your stock system or back office is a real exposure. Internet only, nothing internal.

Retail faults cost sales while they happen, so the six below matter more than their technical difficulty suggests.

“The till freezes part way through a sale”

Usually the terminal losing its connection to the point-of-sale server or the cloud service for a few seconds. Long enough to strand a transaction, short enough that everything looks fine by the time anyone investigates.

What we do Log the network continuously rather than testing it while it is working. A till that freezes twice a day is losing sales quietly, and the fault is nearly always visible in the logs even though it is invisible in a test.

“Online stock doesn’t match what’s on the shelf”

Usually a sync between the point-of-sale system and the web store that has stopped or is running far less often than anyone believes.

What we do Check the integration rather than the stock count. Selling something online that was sold in store an hour earlier costs a refund and a customer, and it is a systems failure rather than a staff one.

“Card payments go through but the receipt won’t print”

Usually the receipt printer having dropped off the network, often after a router restart handed it a different address.

What we do Test updates on one terminal before they reach all of them, and keep a known-good configuration documented. A chain of tills that all update on the same night can close a shop.

Two stores, one brand, two completely different networks

The situation

A retailer with two Gold Coast stores found one traded without incident while the other had daily till problems. Same systems, same supplier, same staff training. The failing store had been blamed on its building for two years.

What we found

The stores had been fitted out four years apart by different contractors. The problem store ran its tills, its customer WiFi, its music streaming and its back-office computer on one flat network through a consumer router, with the payment terminals sharing capacity with whatever customers were doing. The good store had been cabled properly and segmented by accident rather than design.

What we did

Rebuilt the failing store to match the working one — separate segments for payments, staff systems and customer WiFi, proper switching, and fixed addressing for the terminals and printers.

The outcome

Till problems stopped. The useful part was discovering the good store had been the accident, so both sites were documented to the same standard rather than one being left to chance.

Selling stock that had already gone out the door

The situation

A specialty retailer was refunding online orders several times a week for items that were no longer in stock. Customers were told an item was available, paid for it, and then received an apology.

What we found

The link between the point-of-sale system and the web store had been set to update overnight when the shop first went online with a few dozen products. The range had since grown past two thousand lines and turnover had increased sharply, but the sync had never been revisited. Anything sold in store during the day remained purchasable online until the following morning.

What we did

Moved the integration to near real-time, added an alert for a failed sync, and set a stock buffer on the lines that sold fastest so a race between the counter and the website could not strand a customer.

The outcome

Refunds for unavailable stock effectively stopped. The setting had been correct on the day it was configured and wrong for about three years afterwards, which is the usual shape of this problem.
